Location: Mostly Remote, 1-2x/month in the office in Philadelphia, PA

As they continue to expand their operations, they are looking to add an experienced Accounts Payable Manager to their growing team.

Position Overview:

The Accounts Payable (AP) Manager will be responsible for overseeing the daily operations of the accounts payable department, ensuring accuracy and efficiency in processing vendor invoices, managing payments, and maintaining a clean and accurate accounts payable ledger. The ideal candidate will possess strong organizational skills, a detailed understanding of financial processes, and hands-on experience with the NetSuite accounting software.

Key Responsibilities:

  • Supervise Accounts Payable Team: Manage a team of AP professionals to ensure the timely and accurate processing of invoices, expense reports, and vendor payments.
  • Invoice Processing: Ensure all invoices are coded, approved, and processed according to company policies and in a timely manner.
  • Payment Management: Oversee payment schedules, ensuring that payments are made in a timely manner and in accordance with vendor terms. This includes both electronic and check payments.
  • Vendor Relationship Management: Communicate with vendors regarding invoice inquiries, payment status, and resolving any discrepancies.
  • NetSuite Expertise: Utilize NetSuite to manage all aspects of the AP process including invoice entry, payment processing, and account reconciliation. Ensure the proper integration of AP with other financial systems.
  • Reconciliations: Perform monthly AP reconciliations to ensure that balances are accurate and complete. Investigate and resolve discrepancies or issues.
  • Reporting & Analytics: Prepare and review monthly AP reports and financial summaries for management. Analyze spending trends and work with cross-functional teams to ensure cost controls.
  • Process Improvements: Continuously evaluate the AP process and identify opportunities to streamline workflows, improve efficiency, and enhance the accuracy of financial reporting.
  • Compliance & Audit Support: Ensure compliance with internal policies, external regulations, and financial controls. Assist with external and internal audits as necessary.

Qualifications:

  • Experience: Minimum of 5 years of experience in accounts payable or accounting, with at least 2 years in a supervisory or managerial role. Experience in a healthcare or veterinary industry is a plus.
  • Software Skills: Proven experience using NetSuite or similar ERP software. Strong working knowledge of NetSuite’s AP module is highly preferred.
  • Education: Bachelor’s degree in Accounting, Finance, or a related field is preferred.
  • Skills & Abilities:
  • Strong leadership skills with the ability to motivate and mentor a team.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with strong problem-solving abilities.
  • Ability to manage competing priorities in a fast-paced environment.
  • Advanced Excel skills (pivot tables, VLOOKUP, etc.).
  • Strong knowledge of GAAP and financial best practices.

Preferred Qualifications:

  • Experience in the veterinary or healthcare industry.
  • Experience with accounting software systems beyond NetSuite, such as QuickBooks or SAP.
  • Knowledge of state and federal tax regulations related to vendor payments.
