Queens based development firm is seeking an Executive Assistant to support one of their executives. This is a full-time on-site role.
Responsibilities:
- Organizing and managing a busy calendar for the firm’s Managing Director, planning and scheduling any meetings or teleconferences
- Sitting in on confidential meetings, taking minutes and notes
- Processing claims, invoices and expenses
- Screening incoming calls and interfacing directly with clients
- Scheduling and booking conference rooms for use
- Interacting with vendors and contractors on an as needed basis
- Assisting with special projects as needed
Qualifications:
- 3+ years experience prior experience providing high level Executive support
- Expertise using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills, ability to speak with clients and vendors
- Ability to work proactively and independently with minimal supervision
